Billing can be a big hassle for flight schools: They actual bills are hard to track, so those paying can accidentally be charged more or less than they should, or they can miss entire bills, which can cost money for the flight schools. MY Flight Train’s Billing Tracking solves this problem – every single bill is accounted for. It makes sure that the students are charged exactly what they should be – no more, no less. The same courses—easier than ever.
Curriculums in My Flight Train are easier than ever to complete—because My Flight Train does all of the extra stuff: Scheduling lessons, ground time vs. flight time, everything you need to complete the course faster than ever. Completely integrated with Flight Logs and Scheduling, everything except for the actual lesson is taken care of by My Flight Train. Reference material, syllabuses and lesson plans can be entered into and/or uploaded to the curriculum subsystem. The system will match exactly the content and process for the way you want to teach.Initial Setup and Conversion:
The setup and conversion service is optional, but it is not uncommon for schools to engage our staff to help with the initial setup conversion. This includes but is not limited aligning the system to your processes and procedures, initial data entry (or conversion from another system) of users, aircraft and courses if those are being used. This can also include inventory, AR and AP initial entries when converting from another system or just getting the current “paper” totals and status into the system. The time varies depending on the size of the flight school and if it is a new installation or conversion from another system. Please call for detail around options and parameters for this service. This can be done via day rate or fixed bid or custom paid engagement with on-site and off-site services.Operational Consulting
This is a deeper consulting engagement targeting the business process and workflows of the flight school. Specifically we review the current processes and get a “feel” the flight schools culture. We then make recommendations and, if so engaged, help modify the business processes and workflows to ensure policy and FAA compliance while ensuring efficiency and a great student experience with your flight schools. Also, if non-trivial customizations are desired to the system, this consulting engagement would define the exact requirements and modifications that are needed. These are purchased by the day and in most cases only last a few days with possible follow-up in the week or months after the initial engagement.Curriculum Sales & Consulting
MyFlightTrain sells both Part 141 and Part 61 courses that have been approved by the FAA and are being used by established flight schools. Your local FAA office will need to re-approve them for Part 141 usage in your flight school, but they can be used immediately for Part 61 training. We also have consulting services that help your instructors get the most out of courses by training them (or your Chief Instructor(s)) on the intent of each lesson, maneuvers and ground training that should be done with the course. We can also consult on new curriculums that you are creating to help ensure efficiency, compliance, and completeness for FAA approval (if needed).Small Model: (Activity Based)
This model is designed for the independent flight instructors or small flight school doing Part 61 training. This pricing starts as low as $5 / month and grows based on the activity at the flight school. Generally this is less than 20 of students per semester. This model is a “low” overhead model. This model has low monthly pricing and then an activity charge based on events (such as a flight). You pay when you train, but if you don’t train much, the overhead is low. This model adjusted to your training activity, as opposed to a fixed overhead model. Also, because this plan is very simple, you won’t be able to add on as many modules as the medium or large plans.Medium Model: (Modules + Activity)
This model is designed for the small and medium sized flight schools. Most of these schools are providing Part 61 training but may also provide Part 141 training. All of the functionality in My Flight Train is available in this model. Generally, a medium flight schools is from about 20 to several 100 students per year. There is no upper limit on the number of students, planes or instructors in the medium model. There is a base charge per month, generally starting about $249/month and growing or shrinking depending on how many modules are used by the flight school. You can choose from any of the enhanced modules listed below (use them all, or none). The price of the modules varies greatly, so you can email us (sales@myflighttrain.com) for more details. Customization services are also available in this model to tailor the software to the flight school’s exact needs.Large Model: (Fixed, Modules + Activity, Custom, etc.)
The large model is designed for flight schools that are large and/or college programs that need a “fixed” cost or “RFP bid” pricing. This model is similar to the Medium model but adjusted to the specific requirements of a large flight school. For this model, we also include a data conversion service for schools converting off of another system as well as customization services to ensure the system works to the exact needs of the flight school processes. Scheduling Aircraft Profile Tracking Pilot & Instructors Profiles Base Course & Lesson Tracking for more details call us at 801-964-0242 Enhanced Modules:Curriculum Module (Part 61 and Part 141)
Supports full course entry with full syllabus, electronic grading and signatures for pre and post flight reviews. Full compliance for Part 141 and Part 61 training is provided in this module with FAA and VA compliance guaranteed if fully implemented. Assignment of instructors to courses, students to courses, primary instructors, Assistant Chief Flight Instructors and designated check pilots are all supported on a course by course basis with this module. Instructor plane sign-offs for Part 141 training are also supported. Content can be added in the form of documents, videos and podcasts to a course, stage or lesson to help students study for their training.Advanced Reporting:
Advanced reporting allows users to use powerful reporting mechanisms like “index to performance” to measure any one person/plane/course/lesson against the average or sub-set of other people/planes/courses/lessons, as an example. This can be broken down by instructors and lessons, for example to ensure efficient operation of your flight school on an instructor by instructor basis and should be used for proactive coaching of instructors. It also allows for flexible reporting and the creating of new reports from our structured report builder. Reports are compliance and audits are also supported. For workflow reporting, reports are available comparing wall clock time for preflight, post flight and flight time vs billing times. These types of reports ensure you billing the proper amount of time for each activity in your flight school. This module also add the role for “reporting user” and “audit user” for those flight school needed to have FAA, VA, college or other contracted users viewing the flight school information in read-only manor. This is a limited view of the data for audit and reporting purposes.Billing Module:
The billing module includes Invoicing and tracking of balances for users. It creates the invoice and tracks the payments per the business process established by the flight school. It can export CSV and Quickbooks files for those billing or processing payments in other systems. This module understand house accounts, student balances, payment types to the type of purchase (ie. Flight time/training time vs purchasing maps) and multiple types and levels of discounts (employee, plane owner, etc.) These modules understand basic accounts receivable and payables for your flight schools but are NOT intended to be an accounting system that creates a General Ledger or Profit & Loss statements. It will provide the data from an AR/AP and Inventory perspective so that your accountant can create the proper reports. This data can be exported via CSV or Intuit Quickbooks type format of just printed and faxed if needed. Administrators and students can lookup charges for flights and ground training. If the Inventory model is used, it will also process any transaction from the flight school for items such as maps, books and other flight training materials. Finally, this module has the data that can be generated for payroll. The detail and summary of the number of hours worked, rate at which is was worked (CFI, CFII, MEI, etc.), date and flight for each instructor is also provided.Inventory Module:
The inventory module is used to manage the inventory of items outside of flights and ground training. The typical items such as books, maps, headsets and other such items are of course covered. Packages of items (private pilot starter kit, etc.) are also handled. However, the module also includes a rolling COGS system to ensure you are selling your items at the right price. It can adjust cost and price based on a FIFO inventory pricing mechanism where needed. If bar coding is needed for your inventory management that can also be provided including the scan hardware if needed.Payment Module:
The payment model will do the processing of payments electronically (credit/debit, bank draft, etc.) vs a manual card swap (which is also supported). Low transaction rates are available if we process the transaction but we do support 3rd party payment processes also. There are many implementation options for this module so please contact us for information regarding the setup and usage of this model. Leaseback Reporting and Billing This module handles the special task of leaseback reporting. Leaseback reports can be very time consuming and lend themselves to questions by plane owners. Now every maintenance event, fuel charge, flight hour and the full scheduling history is available. Leaseback reports can be produced monthly or at other time intervals as needed.Email us at sales@myflighttrain.com for pricing options
Flying Software Labs is in the business of creating great software for aviation users and the aviation industry. MyFlightTrain’s initial product releases are directed at creating a powerful but easy to use system for pilots, instructors, flight schools and FBO operations. These products are being released under the "MyFlight" ™ Family of products. The founders of Flying Software Labs have been involved in attending and operating various flight schools over the last several years. They were disappointed with their ability to track and follow their progress on-line. Once they started working in the industry, they were dismayed at the number of manual process in flight schools and FBOs that waste time and money (both in productivity and missing billing opportunities). Flying Software Labs was created to make the operations of the flight school and FBO much easier flight school students, pilots, instructors, managers and owners and to return some "fun" in flying (as opposed to paperwork and audits). The founders are active in flight school operations, plane ownership and FBO operations. Over the past 20 years, the founders have also started many successful companies in the online and technology industry and are fully engaged to create bring great products to the aviation industry.
